Who is responsible for your information

Roanoke Development LTD is responsible for the personal information used to operate this website, customer platform and our product support. We are a company registered in England and Wales, number 16334378. Our registered office is 128 City Road, London, United Kingdom, EC1V 2NX.

For privacy enquiries or to exercise your rights, email contact@roanoke.dev.

Information we use and where it comes from

Discord supplies your account identifier, username, display name and avatar information when you sign in. We use these to create or recognise your Roanoke account. Our Discord sign-in does not request access to your email address or messages. Avatar images are loaded from Discord's servers, which receive the usual connection information when your browser requests them.

We keep your purchases, subscription periods, licence and access records, payment references and refund history. Stripe processes payments and sends us payment and billing information, which can include your name, email, billing address and limited payment-method details. We retain payment-event records to reconcile transactions and investigate problems. We do not receive your full payment-card number or security code through our checkout.

We record which product files your account downloads and when. Staff-sharing invitations, acceptances and changes are recorded to manage delegated access and investigate misuse.

We receive the messages, issues, suggestions, comments and support information you submit, including correspondence sent by email or Discord. Please avoid putting passwords, payment details or other sensitive information in posts.

To preserve existing purchases, we may import your Discord identifier, relevant membership roles and historic product ownership from the Roanoke Discord community, and reconcile legacy Ko-fi memberships using our membership records. This may happen before your first website sign-in.

When you use the service, technical information such as IP addresses, browser information, request times and error details may be processed by our hosting, security and service providers.

Why we use it

We use account, payment, subscription and download information to provide the products and services you request and to manage our contract with you. This includes recognising purchases, delivering files, handling support and administering cancellations. Information needed to sign you in or verify a purchase is necessary to provide those features.

We use security, access and moderation records for our legitimate interests in protecting accounts, preventing unauthorised distribution, resolving disputes and keeping the community usable. We also have a legitimate interest in carrying existing customers' ownership into this platform. We consider the effect on your privacy when using information for these purposes.

We retain and disclose information where needed to meet legal obligations, including accounting requirements and lawful requests. If we ask for consent for a separate optional use, we will explain that use when asking and you can withdraw that consent.

Who can see your information

Authorised Roanoke staff can access information needed for administration, support and moderation. We use service providers for hosting, private file storage, backups, email and security, and Stripe for payments. Discord operates the sign-in service and our community. Those providers process relevant information to deliver their services; Stripe and Discord also describe their own uses in their privacy notices:
https://stripe.com/privacy
https://discord.com/privacy

Public issues, suggestions and comments, together with the displayed author identity, can be read by other visitors. Private support content is restricted according to its visibility and access controls. The owner and recipient of a staff-access invitation can see information needed to recognise and manage their sharing relationship. Product roles assigned in Discord can be visible to other community members.

We may share necessary information with professional advisers, payment providers dealing with disputes, or authorities when legally required. We do not sell your personal information.

Processing outside the UK

Stripe, Discord and their service providers operate internationally, including in the United States. Using these services can involve processing information outside the UK. Where we make a restricted international transfer, we must use a recognised adequacy arrangement or appropriate contractual safeguards. Contact contact@roanoke.dev for information about the safeguards relevant to your data and how to obtain a copy. The providers' privacy notices explain their locations and transfer arrangements.

How long we keep information

We keep account and entitlement records for as long as they are needed to provide your account, honour ongoing licences or subscriptions, and establish the source of your access. A perpetual licence may require a long-term ownership record even if you have not recently signed in.

Payment and accounting records are retained for the applicable statutory accounting period and longer where needed for an unresolved dispute or legal obligation. Support correspondence, download records, security events and sharing history are kept for the time needed to handle the relevant request, investigate misuse or resolve a dispute. We consider the record's age, whether the matter is closed and whether its purpose can be met with less information.

Community contributions may remain while the discussion is useful; contact us about removing personal information or separating it from your account. Backup copies follow the backup retention cycle and are not used for ordinary access after removal from the active service. You can request deletion, although we may need to retain limited records for legal requirements or continuing ownership.

Cookies and browser storage

We use cookies needed to keep you signed in, remember your cart and protect forms against unauthorised requests. The site also stores your chosen light or dark theme in your browser until you change it or clear that storage. Blocking these functions may prevent sign-in, checkout or preferences from working.

This platform does not use advertising or analytics tracking. Stripe and Discord operate their own services and explain their cookies in their notices. You can clear site cookies and storage in your browser settings.

Your rights and how to contact us

Depending on the circumstances, you can ask for access to your personal information, correction, deletion, restriction of use or a portable copy. If a use relies on consent, you can withdraw that consent without affecting earlier lawful processing. Email contact@roanoke.dev; we may ask for enough information to confirm your identity before acting.

Your right to object: you can object to processing based on our legitimate interests. Tell us which processing concerns you and your circumstances so we can consider your request.

You can complain to the UK's Information Commissioner's Office at https://ico.org.uk/make-a-complaint/ or to your local data-protection authority where applicable. You do not need to contact us first.

Access rules are applied automatically from your purchases, subscriptions and other grants. If access appears wrong, contact us for a person to review it. We do not use your information for advertising profiles or solely automated decisions with legal or similarly significant effects.

Changes to this notice

We will update this notice when our processing changes and make the current version available here. Where a change materially affects how your information is used, we will provide an appropriate additional notice.
